1. Who this notice applies to
This notice applies to anyone who contacts Gulf United Mobility through this website, submits an enquiry form, uses the visa requirements checker, requests a checklist or quotation, communicates with us by email, phone or WhatsApp, or becomes a client under an agreed service scope. It also applies to people whose information a client provides to us for a family, dependant, employee or student case, where that information is needed for the agreed service.
It describes how we actually operate today. Where a practice depends on the individual service, that is stated rather than generalised.
2. Information collected through public enquiries
When you contact us or submit an enquiry, we collect the information you choose to provide. Depending on the form used, this typically includes:
- name
- email address
- phone or WhatsApp number, and your preferred contact method
- country of residence, or the country you are applying from
- nationality, where you supply it
- intended destination
- purpose of travel or the type of visa or service being considered
- a description of what you need, including timing where relevant
- basic campaign context such as the page you enquired from and any campaign parameters present in the link you arrived through
The visa requirements checker uses the route details you select — nationality, country you are applying from, destination and purpose — to show published official requirements. Enquiry information you submit alongside a checklist request is stored so that we can respond and prepare a service scope.
3. Information collected after secure onboarding
Additional case information is collected only when you have an agreed service and a case has been opened for you. That may include applicant details, passport and travel history details, employment, study, sponsorship or family details, itinerary information and the supporting documents relevant to the specific application.
We ask for information and documents that are relevant to the agreed scope. If something is not needed for your case, you do not need to provide it, and you should not send it.
4. Sensitive documents
Passport copies, financial statements, bank documents, identity documents, medical or other sensitive case files should not be submitted through the ordinary public enquiry form, by WhatsApp message or in general email correspondence.
Where an agreed service requires supporting documents, they are requested through the private authenticated client area, or through another route we confirm with you directly. If sensitive material is sent to us unsolicited through a public channel, we handle it with the same care as case material and remove it from that channel where it is not required.
5. Why information is processed
Information is processed in order to:
- respond to your enquiry and answer your questions
- assess what is required and prepare a service scope and quotation
- prepare, organise and coordinate an agreed visa or mobility case
- communicate with you about your enquiry, quotation, case progress and next steps
- coordinate the elements of the service you have asked us to arrange
- maintain the security and integrity of our website, client area and internal systems
- keep appropriate business, accounting and case records
- meet operational and legal requirements that apply to our work
We do not sell information, and we do not use enquiry or case information for unrelated marketing to third parties.
6. Information sharing
Information is shared only where it is necessary and appropriate for the service you have agreed, or where we are required to do so. Depending on the case, that can include:
- immigration authorities, embassies, consulates and visa application centres
- appointment, biometric or document-submission providers used for the relevant application
- travel-related providers where those elements are part of the agreed scope, such as airlines or booking intermediaries, accommodation providers and insurers
- translation, attestation, courier or similar administrative providers required for the documents in your case
- professional partners where a component of the work needs to be carried out by a qualified professional
- our own service providers who support email, hosting, database and file-storage functions
The specific parties depend entirely on the destination, application type and scope agreed with you. We do not share case information more widely than the service requires.
7. Third-party authorities and providers
Immigration authorities, embassies, consulates, visa application centres, appointment providers, airlines, insurers, accommodation providers and other external organisations operate under their own privacy notices, terms and handling practices. Once information is submitted to them as part of an application or booking, it is handled according to their rules, not ours, and decisions about that information rest with them.
8. Document storage and access
Case information and uploaded documents are held in access-controlled systems. Where a private authenticated client area is available for your case, documents are uploaded to private storage that is not publicly accessible, and access is restricted to your own case record and to authorised Gulf United Mobility staff who need it for your service.
Access to the client area uses either a one-time email sign-in link or a password you set yourself. Session information is held in your own browser so that you stay signed in. We apply access controls and other appropriate technical and organisational safeguards, and we review them as our systems develop.
No online system can be described as completely secure, and we do not claim otherwise. If you believe your access has been compromised, contact us so that we can respond.
9. Retention
Information is retained only for as long as reasonably necessary for the relevant service, operational, legal or record-keeping purpose. Enquiries that do not proceed are kept for a shorter period than active or completed case records. Where information is no longer needed for any of those purposes, it is deleted or reduced to what remains necessary.
10. Access, correction and deletion requests
You can ask us what information we hold about you, ask us to correct it, ask us to delete information that is no longer required, or ask us to stop contacting you. We may need to confirm your identity before acting on a request, and we may need to keep limited records where an operational or legal purpose still applies.
For any privacy request, contact us at info@gulfunitedmobility.com or by phone/WhatsApp on +973 37229120.
11. Cookies and analytics
This website does not use third-party advertising trackers or third-party analytics products. There is no Google Analytics, advertising pixel or similar external tracking script installed.
Storage in your browser is used only for functional purposes: keeping you signed in to the client area, remembering progress you have saved in an onboarding form, and recording basic interaction events within the site itself so we can understand which pages lead to enquiries. Those internal events do not include your name, contact details, passport details, case content or documents.
12. International handling
Gulf United Mobility is based in Bahrain and supports clients applying from and travelling to other countries. Because of this, information may be handled outside your own country of residence — for example when it is submitted to a destination authority or application centre, when a service provider or partner in another country is involved in your case, or where the hosting and email systems we use operate across more than one region.
Where information moves between countries in this way, we share only what the agreed service requires and we take the care described in this notice.
13. Children and family cases
This website is not directed at children, and we do not ask children to submit information to us directly. Information about a child or dependant is provided by a parent, legal guardian or the responsible adult handling the case — for example in a family visit, dependant or student application. In those cases we collect only the details and documents the application requires, and we handle them on the same restricted basis as other case material.
14. Updates to this notice
This notice may be updated as our services and systems develop. The date at the top of this page shows when it was last updated. Where a change materially affects how we handle client case information, we will make that clear to affected clients.
15. Contact
