In shortVisitor applications generally need to show where you intend to stay, but the acceptable form of that evidence varies by authority. A genuine hotel reservation, a host's invitation and address details, or a mix of both across a multi-city trip can all be appropriate. What matters is that the accommodation covers your stated travel dates, matches the rest of the itinerary, and is genuine — fabricated hotel confirmations must never be used.

What accommodation evidence is actually for

Accommodation evidence answers a simple question: where will you be during the visit? It also supports two others — whether the trip is planned realistically, and whether the cost of the stay has been accounted for. Requirements are set by each authority and by the member state or centre receiving the application, so confirm the document list for your route on the official source.

  • The dates of the stay are covered from arrival to departure.
  • The address is real and identifiable.
  • The arrangement is consistent with the purpose of the visit.
  • The cost is consistent with the funding shown, or is being provided by a host.

The main accommodation situations

Hotel or paid accommodation

A genuine reservation from a hotel or booking platform, in the applicant's name, covering the stated dates. Where a decision is pending, refundable or free-cancellation reservations are usually the sensible choice, provided the reservation is real and still valid when the application is assessed.

Staying with family or friends

Where you will stay privately, the file normally needs the host's details rather than a booking: name, relationship, full address and contact details, often with a letter of invitation. Some authorities and member states also expect evidence of the host's status or of their right to accommodate you. Check what the receiving authority publishes.

Business travel and employer-arranged stays

Where an employer, client or event organiser arranges accommodation, the invitation or event documentation should say so, and the accommodation should match the meeting or event dates.

Mixed arrangements

Combining a hotel for part of the trip with private accommodation for another part is normal. The file should simply show the whole period covered, without gaps that raise a question.

Multi-city and multi-country itineraries

Longer trips need more care, because accommodation, internal travel and dates all have to line up. This is particularly relevant for Schengen travel, where the member state receiving your application depends on your main destination.

  • List each city or country with arrival and departure dates.
  • Show accommodation for every night of the stay, or explain overnight travel legs.
  • Keep internal travel — trains, flights, car hire — consistent with the accommodation dates.
  • Make clear where the majority of the stay takes place, where that determines which authority receives the application.

Genuine reservations only

Never create or submit a fabricated hotel confirmationA confirmation that was never issued by the property or platform, or one cancelled and presented as live, is deception. It risks refusal and long-term consequences for future applications. If you are not ready to commit to a booking, use genuine refundable reservations or the accommodation evidence your authority accepts instead.

Booking with the intention of cancelling immediately after submission sits in the same territory. If the authority assesses a reservation that no longer exists, the file no longer reflects reality. Keep reservations genuine and current through the assessment period.

Changes after submission

Plans change. Where accommodation, dates or routing change materially after submission, follow the authority's published process for updating an application or providing further information — and be prepared for the possibility that a change affects timing.

  • Minor changes within the same dates and city are rarely significant, but keep your own records consistent.
  • Changed travel dates usually matter, because they affect the whole file.
  • If travel must be postponed substantially, check what the authority says about withdrawal or a fresh application.
  • Never leave the submitted file describing a trip you no longer intend to take.

Frequently asked questions

Do I need a hotel booking to apply for a visa?

Many visitor routes require evidence of where you will stay, but the acceptable form varies by authority and can include a genuine reservation, host details with an invitation, or employer-arranged accommodation. Confirm the document list published by the authority or member state receiving your application.

Can I stay with family or friends instead of a hotel?

Yes, and it is common. In that case the file usually needs the host's name, relationship, full address and contact details, often with a letter of invitation, and some authorities also ask for evidence of the host's status. Check what your receiving authority publishes.

Should I use a refundable hotel booking?

While a decision is pending, refundable or free-cancellation reservations reduce financial risk, provided the reservation is genuine and still valid when the application is assessed. Booking and immediately cancelling leaves the file describing accommodation that no longer exists.

What if my travel dates change after I apply?

Follow the authority's published process for updating an application or supplying further information, and keep your own documents consistent. Material changes to dates or routing affect the whole file, so do not leave a submitted application describing a trip you no longer intend to take.

Can Gulf United Mobility arrange my accommodation?

Where it forms part of the agreed service scope, Gulf United Mobility can search and arrange accommodation through reputable third-party providers if you do not already have confirmed arrangements, and align it with your itinerary and application. Gulf United Mobility is not a hotel or regulated travel provider and never supplies fabricated confirmations.
